Microsoft has confirmed that live transcription with speaker attribution, timestamps, and optional translation will soon arrive in Microsoft Teams Rooms running on Android. The new capability is scheduled to begin rolling out in late April 2026, with full availability expected by late May 2026.
The company stated that the feature will require a Teams Rooms Pro license and will be enabled automatically on supported devices. Administrators will not need to manually activate the capability once it becomes available.
Real-Time Meeting Transcripts
The update will allow meeting participants to follow conversations through real-time text transcription displayed directly on their devices. Each transcript will include speaker identification and timestamps, allowing users to easily track who said what during the meeting.
Microsoft says this functionality is designed to improve clarity during discussions, particularly in meetings involving multiple speakers.
In addition to the primary transcript, organisations that enable translation will be able to display translated text on the front-of-room screen. When this option is active, the system displays the original-language transcript at the top, with the translated version below.
Rollout Schedule and Availability
According to Microsoft, the rollout will reach Worldwide and GCCH customers in phases. The deployment is expected to begin in late April 2026 and continue through late May 2026 until it reaches general availability.
Once the feature becomes active on a device, users can start transcription directly from the room console. The option will appear in meeting controls under:
- More → Record and transcribe
- Transcribe (depending on tenant configuration)
Before the transcription begins, the system will ask participants to confirm the spoken language of the meeting. A notification will also inform attendees that transcription is active and provide a link to privacy information.
Visual Indicators for Active Transcription
Microsoft is also introducing updated icons to ensure participants can easily recognize when transcription or recording is in progress.
- A transcription icon will appear when transcription is running without recording.
- A recording icon will display if the meeting is being recorded, regardless of whether transcription is enabled.
These indicators are intended to improve transparency and ensure participants remain aware when conversations are being captured.
The feature will only be available on devices assigned a Teams Rooms Pro license. Meeting room systems without this license will not receive the transcription capability.
For licensed environments, transcription will be enabled by default, though it will still follow the organization’s existing administrative policies.
Preparation Steps for Administrators
Microsoft has advised IT administrators to verify certain configurations before the rollout begins. The primary recommendation is to confirm that all affected meeting room devices are assigned a Teams Rooms Pro license.
Administrators may also review meeting transcription policies in the Teams Admin Center to determine whether transcription should be allowed or restricted for specific users or room accounts.
Accessibility and Collaboration Benefits
Microsoft highlighted that adding live transcription can significantly improve accessibility during meetings. The feature can assist individuals with hearing impairments and help participants follow conversations when they are conducted in a language they may not fully understand.
By combining real-time transcription with optional translation, the update aims to make hybrid meetings easier to follow for participants both in and out of the meeting room.
